Part-Time Administrative Assistant
Function
The Part Time Administrative Assistant’s role advances Crossworld’s disciple-making vision by serving our donors and international staff as part of the development department. Responsibilities range from simple office administration, project management, cultivating and tracking relationships with donors, and assisting field staff with donor questions.

This individual must be trusted to handle confidential donor information with professionalism. This position is responsible for a wide range of administrative, donor stewardship, and relationship-building activities. The successful candidate will understand how the consistent, timely, and effective execution of these responsibilities supports Crossworld's mission, strengthens donor relationships, and advances ministry objectives.
Areas of Responsibility
- Assist the Development Team as follows:
- Manage the reporting needs of the Development Department, including:
i. Monthly and quarterly call lists for the Charitable Giving Officer
ii. Monthly general fund donor (GO Partner) reports
iii. Donor retention reports
iv. Board giving reports
v. Mailing and segmentation lists
vi. Other reports as requested
- Manage weekly donor stewardship and acknowledgment processes, including:
i. Pulling weekly thank you reports
ii. Drafting thank-you note content
iii. Preparing and sending handwritten thank-you notes
iv. Recording donor communications in the donor database
- Coordinate donor correspondence, including mailing letters, packages, cards, and other stewardship materials.
- Maintain inventory of donor-related materials and coordinate reordering with the Director of Donor Relations.
- Coordinate bi-annual donor mailing campaigns for Thanksgiving and Easter:
i. Work with the graphic designer to develop card designs
ii. Prepare card-writing packets for board members
iii. Recruit and coordinate staff participation
iv. Track completion and distribution
- Serve as the primary liaison for annual shared services appreciation projects.
- Cultivate donor relationships through stewardship phone calls, answering donor inquiries, and assisting the Charitable Giving Officer with scheduling donor visits.
- Support international staff fundraising efforts by maintaining giving pages, generating donor reports, and providing administrative support.
- Maintain accurate donor records and communications in the donor management system.
- Participate in bi-weekly Development Team meetings and other relevant meetings as assigned.
- Perform other duties and assist with special projects as assigned.
Evaluation
An annual evaluation will be done by the Director of Donor Relations.
Salary and Benefits
This is a part-time position and is classified as non-exempt with no additional benefits. Hourly compensation will be determined annually by the Director of Donor Relations. The role allows for the development of a flexible, 20-hour per week schedule.
Requirements
This job requires the employee to work primarily on campus. Core office hours are 9:00 a.m. to 3:00 p.m. with a half-hour unpaid break for lunch. The employee must be able to function efficiently working from a cubicle or from home.
Skills: excellent administrative skills; competencies in Microsoft Office applications such as Word, Excel, PowerPoint and Outlook; confidence in using technology in general; relational abilities; and communication and writing skills.
Physical abilities: While performing the responsibilities of the job, the employee is required to talk, hear, use their hands and fingers to operate office technology, is often required to sit, stand, walk, reach with arms and hands, is occasionally required to climb, balance, stoop, kneel, crouch, and crawl. The employee should be able to lift and carry up to 25 pounds periodically. Vision abilities required by this job include close vision, distance vision and peripheral vision. The noise level in the work environment is usually quiet to moderate.

We believe the Bible teaches that marriage is to be a lifelong union between one man and one woman, and that the sexual relationship is to be enjoyed uniquely within the context of marriage (Gen. 1:26-27; Ex. 20:14; 1 Cor. 6:18 - 7:4; Gen. 18:20; Lev. 20:13; Rom. 1:26-27). Because of our understanding of the biblical teaching on this matter, Crossworld does not employ or retain for employment individuals engaged in sexual conduct outside of the bounds of a heterosexual marriage relationship.
